Here the delicate part is not the diary, it is the data. And what the bot must never say.
Can the bot give medical advice?
No, and it is built not to. It gives information on services, prices and hours, and it books. Anything clinical goes to the professional, without exception.
Can it spot an emergency?
It recognises signals that something is urgent and stops: it tells the person where to go or who to call, and alerts the clinic. It does not try to judge severity.
Health data is sensitive. How do you handle it?
As a special category under Article 9 of the GDPR: encrypted, on EU servers, with logged access and a signed processing agreement. And if your case calls for an impact assessment, we say so.
Can the bot ask for a photo of an injury?
It can receive one and file it for the professional to look at, but it does not interpret it or offer an opinion.
Does it cut missed appointments?
A reminder with a confirmation button is what cuts them most, because the patient cancels ahead instead of simply not turning up. That slot can still go to someone else.
Can it handle several practitioners and rooms?
Yes. It cross-checks the practitioner's availability against the room or equipment, so it does not give out an appointment that cannot happen.
Does the patient know they are talking to an AI?
Yes, it says so at the start. In healthcare that matters twice over: nobody should think clinical staff are answering them.
Does it integrate with the practice software I already use?
It depends whether yours allows a connection. Many do, and then the appointment lands directly. If not, we work on the diary we set up and avoid double entry.
Can it collect paperwork before the first appointment?
Yes: reports, test results or a signed consent form. They arrive before the appointment and sit on the record, so the practitioner does not start blind.
Does it handle recurring check-ups?
Yes. It can nudge the patient when the annual review or the next follow-up is due, which is the diary almost every clinic stops working for lack of time.
Can it give treatment prices?
The ones on your price list, yes. A tailored quote, no: that comes from an assessment, and what the bot does is book it.
What about patients who ring instead?
The voice agent takes the call, books just like the WhatsApp bot and leaves the record filled in. In a clinic the phone is still the channel for older patients.
Can it run a waiting list?
It is custom work, not part of the base plan. Once built, when a cancellation frees a slot it contacts whoever has been waiting longest for that treatment.
Who can see a patient's conversations?
Only whoever you authorise, and every access is logged. With health data it is not enough to be secure: you have to be able to show who looked at what.
